Administrative Assistant
Full-Time
The Administrative Assistant provides support to NCC Administration areas including, the Administrative Services Manager, Chief Executive Officer, Executive Suite and Board of Directors as needed. Seeks to maintain efficient communication and workflows between all NCC sites and continue to find areas for process improvements within these departments and assist staff with necessary changes. Acts as a first point of contact for administrative inquiries and performs other administrative functions by performing the following duties.
- Provides administrative support to the Administrative Services Manager, Chief Executive Officer, other Senior and Executive Leaders, and Board of Directors as needed. Assist with general operational tasks, administrative support.
- Manage communication of information in and out of the office; type correspondence letters, emails, memos, etc. (paper and electronic) for administration; sort incoming mail and prepare outgoing mail and packages for administration and deliver to post office.
- Communicates professionally at all times with internal and external customers.
- Suggest changes to office task workflow to improve efficiency
- Plan and schedule meetings, presentations, and other office related events; send reminders regarding upcoming appointments
- Assist in preparation of presentation materials; prepare committee and board materials and agendas as needed.
- Attend meetings and record minutes as requested.
- Serves as back up support for Administrative Services Manager to NCC’s Board of Directors completing a variety of administrative supportive functions which may include and is not limited to: maintaining current listings of Board Member information, collecting Board attendance and record for Board of Directors and Board Committee meetings, updating Board approved documents in company registry, maintaining/updating Board binder documents and files.
- Collaborates with leaders as needed on schedules by planning and scheduling meetings, conferences, teleconferences, and travel.
- Organizes and maintains file system and files correspondence and other records for administration and Board of Directors.
- Maintain office supplies for administration and submit order requests for fulfillment as needed.
- Provides administrative support coverage for the Administrative Services Manager when necessary. Works with other members of the administrative services team to ensure proper administrative coverage when necessary.
- Provides administrative support to the Senior Leaders and Board of Directors as requested.
- Maintains confidentiality.
- Adheres to NCC policies and procedures.
- Regular and reliable attendance.
- Other duties as assigned.

- High School Diploma or equivalent required.
- Minimum of an Associate’s degree, or 2+ years working as an administrative office assistant required.
- Excellent typing & computer skills required.
- Knowledge of Microsoft Office Suite required.
- CPR Certification required withing six months of hire.
